Setup & Compliance
The Setup & Compliance track guides practitioners through the critical steps of establishing a safe, legal, and ethically run aesthetic practice. This section is all about clinic setup logistics and regulatory compliance – ensuring that Dr. Face treatments are delivered in a setting that meets the highest standards of patient safety and adheres to all laws and guidelines. Content covers how to equip and organize a treatment facility, implement health and safety protocols, maintain documentation, and follow ethical guidelines. Given the global audience, the track emphasizes universal best practices (while advising learners to check local regulations). By completing this track, practitioners will have a blueprint for creating a compliant, patient-centered clinic environment

Learning Objectives
After this track, participants will be able to
Plan and set up a treatment facility
with appropriate layout, equipment, and supplies – from treatment beds and lighting to laser devices and emergency kits – optimizing both client comfort and safety
Implement stringent health and safety protocols
including infection control measures (sterilization, disinfectants, hand hygiene), use of personal protective equipment, and safe handling of biohazard materials
Ensure regulatory compliance
by obtaining necessary licenses/registrations for the clinic and staff, verifying provider credentials, and meeting any national/local healthcare regulations for aesthetic procedures (e.g. medical director oversight if required)
Use proper documentation and record-keeping
maintain thorough patient records, treatment logs, and incident reports; obtain and file written informed consent for every procedure ; and protect patient confidentiality in line with privacy laws.
Adhere to ethical standards and patient rights
practice truth in advertising and consultation (no exaggerated claims), uphold patient privacy and dignity, and follow professional codes of conduct for medical aesthetics
Establish emergency and complication protocols
be prepared with plans and training for handling emergencies (allergic reaction, fainting, etc.) or complications infection, burns) including when/how to escalate care.
Conduct regular compliance audits and staff training
to keep the practice up-to-date and in continuous adherence with evolving standards
Modules and Topic
The Setup & Compliance track is organized into detailed modules, often accompanied by guidelines and checklists:
Clinic Design & Equipment Setup
Guidance on choosing a location or space for the practice and designing treatment rooms. Covers essential equipment and supplies: e.g. treatment chair/table, sterilizer (autoclave) or disposable tool supply, laser safety requirements (warning signs, eyewear), ventilation for chemical use, secure storage for products and medications (like toxins, fillers). Discusses the reception and waiting area setup for a professional ambience.
Informed Consent and Documentation
Best practices for patient paperwork. Detailed walk-through of obtaining informed consent – explaining procedure risks/benefits and documenting client understanding/ signature . Discusses keeping before/after photographs with consent, using electronic medical record systems vs. paper files, and maintaining confidentiality (password-protecting digital files or locked cabinets for paper records, complying with HIPAA or equivalent laws).
Ethical Practice & Professionalism
A discussion-based module reinforcing ethical issues specific to aesthetics. Topics include managing patient expectations honestly (e.g. not pressuring clients into unnecessary procedures for profit), ensuring patient autonomy (they feel free to decline or decide without coercion), maintaining professional boundaries, and dealing with sensitive situations (like identifying clients who may have body dysmorphic disorder and referring them appropriately rather than treating). It also touches on advertising ethics as per compliance (truthful before-and-after images, no misleading “miracle” claims) . Case vignettes illustrate right vs. wrong approaches in ethically gray situations.
Licensing, Laws, and Insurance
Overview of legal requirements to open and run an aesthetic clinic. Topics include clinic licensing procedures, practitioner scope-of-practice laws (what treatments differentprofessionals are allowed to do in various jurisdictions), need for a supervising physician (in certain locales), and insurance coverage (malpractice insurance for practitioners, liability insurance for the facility). Learners are prompted to research their local requirements as part of this module.
Safety & Emergency Protocols
Training on preparing for emergencies and adverse events. This includes having emergency contact numbers and supplies readily available, e.g. epinephrine auto-injectors for allergic reactions, first-aid kits, burn kits for laser accidents, and protocol for syncope (fainting) management. Staff roles during emergencies are defined (who calls ambulance, who administers first aid). The module might simulate scenarios like a client fainting or a rare anaphylactic reaction to a product, to drill the correct response
Standard Operating Procedures (SOPs)
How to develop and document SOPs for all common treatments (from client intake to post-care). Emphasizes consistency and safety – e.g. a written protocol for laser
therapy that includes calibration checks, skin typing, test spots, etc. Also covers creating infection control protocols (daily/weekly cleaning checklists, sterilization logs) and occupational safety guidelines (sharps disposal, hazard communication for chemical peel agents).
Quality Assurance & Continuous Compliance
Encourages a culture of safety through regular selfaudits and staff training. Teaches how to use compliance checklists to periodically review if the practice meets standards (are consent forms up to date? equipment serviced? meds not expired?). Also covers handling patient complaints or incidents professionally – with documentation and corrective action – to continuously improve. Stresses keeping current with new regulations or guidelines by attending workshops or subscribing to industry updates
Recommended Formats & Materials
This track provides many reference materials and checklists to
implement in one’s practice
Guideline Documents (PDFs
Downloadable clinic setup guide (covering room layout and equipment list for a basic aesthetic clinic), and regulatory guidelines summary highlighting common legal requirements in major regions (for awareness). There’s also a sample Clinic Policy and Procedure Manual outline that participants can adapt to their own practice.
Checklists & Forms
A suite of checklists is provided, including a Daily Sanitation Checklist, Laser Safety Checklist (ensuring eyewear, warning sign, etc., are in place before each session), and an Emergency Supplies Checklist. Standard form templates like Informed Consent Forms (for various procedures),
Medical History Form, and an Incident Report Form are downloadable for immediate use in practice . These resources help jump-start the compliance infrastructure in a new clinic.
Video Tutorials and Walkthroughs
Short videos demonstrating proper clinic sanitation techniques (e.g. how to wrap and sterilize instruments, how to dispose of sharps safely), and a “clinic tour” example video showing an ideal setup for compliance (pointing out things like fire extinguisher location, eyewash station, etc.). Expert interviews (e.g. with a healthcare lawyer or experienced clinic manager) discussing common pitfalls in compliance may also be included to provide professional perspective
Scenario-based Learning
Interactive scenario exercises where learners are presented with a compliance challenge (e.g. an inspector visits your clinic – what do you do? Or a client’s personal data was accidentally emailed to another client – how to respond under privacy laws?). These scenarios can be text-based or video reenactments, followed by reflective questions or a quiz to test understanding of proper procedures
Assessment Quiz
A quiz or self-test at the end of the track to verify understanding of key compliance principles and safety protocols. This ensures learners can identify correct practices (e.g. the proper steps if a sterilization indicator fails, or which statements in an ad are legally problematic). Successful completion might be required to earn the Setup & Compliance certificate, underscoring the importance of these topics.
